We are looking for a reliable and organized Part-Time Secretary to support the daily administrative operations of our home care and nursing care services. The ideal candidate will be responsible for managing office tasks, scheduling, client communication, and ensuring smooth administrative processes that contribute to the overall efficiency of the agency.
Key Responsibilities:
- Answer and direct phone calls, emails, and other forms of communication from clients, families, and healthcare providers.
- Schedule and coordinate appointments for clients with caregivers, ensuring accurate and timely visits.
- Maintain client records and ensure proper documentation of care plans, service changes, and other essential paperwork.
- Assist with processing new client intake forms and maintaining client files.
- Prepare and distribute reports, invoices, and correspondence.
- Maintain office supplies and equipment, ensuring the office runs smoothly.
- Assist with payroll and timesheet verification for caregivers and staff.
- Support staff with various administrative tasks as needed, such as data entry, filing, and organizing.
- Ensure compliance with all company policies, healthcare regulations, and confidentiality requirements (HIPAA).
Position Requirements:
- High school diploma or equivalent required. Additional training in office administration or healthcare is a plus.
- Proven experience in an office or administrative role, preferably in a healthcare or home care setting.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of basic office equipment (phones, fax machines, printers).
- A compassionate and caring nature, with a strong understanding of the needs of elderly or ill clients.
- Familiarity with HIPAA regulations is a plus.
